Position Overview

The Administrative Coordinator provides essential office and administrative support to ensure smooth daily operations. This role supports employees and visitors, manages office resources, and coordinates various administrative and facility-related tasks. Strong bilingual communication skills in Japanese and English are required.


Key Responsibilities

  • Serve as the main point of contact for office operations and visitor support
  • Greet guests, schedule meetings, and prepare conference rooms
  • Manage incoming and outgoing mail, packages, and deliveries
  • Maintain office supplies and equipment inventory
  • Coordinate with vendors (supplies, cleaning, maintenance, and repairs)
  • Support facility management by handling service requests and issues
  • Arrange employee travel, including international arrangements
  • Assist with onboarding and offboarding (equipment, orientation, documentation)
  • Manage office access items (keys, badges, and equipment)
  • Maintain accurate records for inventory and administrative documents
  • Support internal events, meetings, and employee activities
  • Handle confidential information and perform general administrative duties

Work Schedule

  • Monday – Friday
  • 8:30 AM – 5:30 PM or 8:30 AM – 5:00 PM (flexible)

Compensation

  • Pay: $22–$28 per hour (based on experience)

Required Qualifications

  • Fluency in Japanese and English (spoken and written)
  • Strong organizational and communication skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Detail-oriented with strong customer service skills
  • Ability to work independently and follow established procedures

Education & Experience

  • High school diploma or equivalent required
  • Prior administrative or office support experience preferred
