Job Title: Office Administrator
Working hours: 9:00am to 5:00pm Monday to Friday
Location: Downtown Vancouver
Employment Status: Temp for 6 months contract with possibility of extension
Hourly wage: $28-38 per hour depending on experience
Summary
The Office Administrator will perform extensive administrative and general support duties in a highly responsible and confidential manner in the office. Beyond general administration duties, this position is to support digital transformation initiatives, intelligence/research activities, and presentation material preparation.
Responsibilities
Office Administration
- Maintains Managers’ schedules and calendar, screens correspondence and calls, welcomes guests and customers by greeting them, establishes records and files (electronic & other), drafts responses, researches and reports multiple topics, arrange executive and board meetings as well as travel.
- Making travel arrangements including booking flight, accommodation and car rentals/limo service, optimizing routes, timing and budget.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Facilities management (keep mailroom/ reception area/break rooms/meeting rooms/ office/ labs organized and tidy.)
- Ad-hoc tasks such as Joint Health & Safety Committee as needed
Digital Transformation & Process Improvement
- Support digital transformation initiatives by assisting with the implementation and continuous improvement of business processes and digital workflows.
- Collect, organize, and analyze operational data to identify trends, improve efficiency, and support data-driven decision-making.
- Assist in evaluating and implementing digital tools and technologies that enhance productivity and streamline business operations.
- Create, maintain, and improve reports, dashboards, spreadsheets, and documentation to support internal projects.
- Collaborate with cross-functional teams to identify opportunities for process automation and operational improvements.
- Participate in special projects related to digital innovation, business optimization, and organizational efficiency.
Research & Business Intelligence
- Conduct research on market trends, economic developments, geopolitical issues, and industry developments.
- Gather and summarize information from multiple sources to support strategic planning and business decisions.
- Prepare concise reports and briefing materials for management.
Requirements
Education
- Degree in Science, Economics, or related field
Experience / Skills
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word) – advanced level preferred
- Ability and willingness to perform administrative/operational tasks
- Interest in politics, economics, and global business topics
- Strong attention to detail and organizational skills
Nice to Have
- Basic programming / data analysis skills (e.g., Python, VBA, etc.)
