A Japanese IT company is seeking a Sales Operations & Procurement Specialist (Japanese and English bilingual).
Key Responsibilities
Sales Operations
- Prepare quotations for software license renewals, maintenance contracts, and standard system integration (SI) projects.
- Process sales orders and generate invoices using the Navision (NAV) ERP system.
- Coordinate with the billing team to ensure invoice accuracy and assist with accounts receivable follow-up.
- Respond to customer inquiries and provide administrative support to the sales team.
- Manage contracts, including renewals, amendments, terminations, and annual warranty renewals.
Procurement & Purchasing
- Source vendor quotations, pricing, lead times, and product specifications.
- Prepare and process purchase orders while coordinating approvals and purchasing activities.
- Manage procurement from order placement through delivery, ensuring timely fulfillment.
- Reconcile received goods with purchase orders and resolve shipment discrepancies.
- Process vendor invoices and payment documentation.
- Negotiate pricing, discounts, and contract terms with hardware and software vendors.
- Maximize partner incentive programs, including rebates and deal registration benefits.
Systems & Data Management
- Maintain accurate sales and procurement records in Navision (NAV).
- Update and manage Excel-based operational data.
- Analyze purchasing and operational data to support business planning.
- Assist with project P&L tracking.
- Troubleshoot NAV system issues in collaboration with IT and Accounting teams.
Warehouse & Inventory
- Oversee shipping, receiving, and inventory management activities.
- Coordinate deliveries and warehouse operations.
Process Improvement
- Participate in continuous improvement (KAIZEN) initiatives to streamline business processes.
- Prepare reports, operational manuals, and analytical documentation.
- Perform additional administrative and operational duties as assigned.
