Administrative Assistant – Part-time

A well-established Japanese-affiliated company in the healthcare-related industry is seeking a bilingual Administrative Assistant to support a wide range of back-office operations.

Position Overview

  • Job Title: Administrative Assistant
  • Employment Type: Part-time
  • Work Hours: Approximately 20–25 hours per week
  • Expected Schedule: Monday through Friday, 9:00 AM–2:00 PM or 9:00 AM–3:00 PM
  • The company’s standard business hours are 8:30 AM–5:30 PM.
  • Work Style: Primarily office-based
  • Remote work may be allowed one day per week, depending on business needs and approval.

  • Hourly Pay: $25–$30/hour, depending on experience and qualifications

About the Role

In this role, you will be responsible for office administration, basic bookkeeping support, HR/payroll-related administrative tasks, and general operational support. The position is well-suited for someone who is detail-oriented, reliable, and comfortable managing multiple responsibilities in a professional office environment.

Key Responsibilities

  • Answer phone calls and greet visitors
  • Manage office supplies and support general office operations
  • Maintain office equipment used by employees
  • File and manage reports and documents for government agencies and other authorities
  • Coordinate business travel arrangements
  • Support the planning and coordination of company events
  • Provide necessary information to external accounting service providers
  • Process employee reimbursement requests
  • Assist with bank account and credit card-related administrative procedures
  • Support basic HR and payroll administration under the direction of management and external service providers
  • Handle administrative tasks related to Simple IRA plans
  • Support new hire and employee separation procedures
  • Assist with legal compliance-related administrative tasks
  • Provide temporary backup support for customer service functions as needed
  • Support order processing activities in coordination with Sales and Operations teams
  • Create and update Standard Operating Procedures and manuals
  • Perform other related administrative duties as assigned by management

Qualifications

  • Fluency in both English and Japanese, verbal and written
  • 3–5 years of experience in an administrative role
  • Associate degree required; bachelor’s degree in a related field preferred
  • Proficiency in Microsoft Office
  • Excellent verbal and written communication skills
  • Ability to understand, summarize, and communicate written and verbal information accurately
  • Strong organizational skills and attention to detail
  • Ability to prioritize multiple tasks in a fast-paced environment
  • High level of accuracy and reliability when handling confidential information
  • Strong interpersonal and customer service skills
  • Self-motivated and able to work independently
  • Basic knowledge of inventory management and related business software is a plus
