Administrative Assistant – Part-time
A well-established Japanese-affiliated company in the healthcare-related industry is seeking a bilingual Administrative Assistant to support a wide range of back-office operations.
Position Overview

- Expected Schedule: Monday through Friday, 9:00 AM–2:00 PM or 9:00 AM–3:00 PM
- The company’s standard business hours are 8:30 AM–5:30 PM.
- Work Style: Primarily office-based
- Remote work may be allowed one day per week, depending on business needs and approval.

- Hourly Pay: $25–$30/hour, depending on experience and qualifications
About the Role
This is a great opportunity for someone who enjoys supporting an organization behind the scenes, working closely with internal teams and external vendors, and handling a variety of administrative tasks with accuracy and professionalism.
In this role, you will be responsible for office administration, basic bookkeeping support, HR/payroll-related administrative tasks, and general operational support. The position is well-suited for someone who is detail-oriented, reliable, and comfortable managing multiple responsibilities in a professional office environment.
Key Responsibilities
- Answer phone calls and greet visitors
- Manage office supplies and support general office operations
- Maintain office equipment used by employees
- File and manage reports and documents for government agencies and other authorities
- Coordinate business travel arrangements
- Support the planning and coordination of company events
- Provide necessary information to external accounting service providers
- Process employee reimbursement requests
- Assist with bank account and credit card-related administrative procedures
- Support basic HR and payroll administration under the direction of management and external service providers
- Handle administrative tasks related to Simple IRA plans
- Support new hire and employee separation procedures
- Assist with legal compliance-related administrative tasks
- Provide temporary backup support for customer service functions as needed
- Support order processing activities in coordination with Sales and Operations teams
- Create and update Standard Operating Procedures and manuals
- Perform other related administrative duties as assigned by management
Qualifications
- Fluency in both English and Japanese, verbal and written
- 3–5 years of experience in an administrative role
- Associate degree required; bachelor’s degree in a related field preferred
- Proficiency in Microsoft Office
- Excellent verbal and written communication skills
- Ability to understand, summarize, and communicate written and verbal information accurately
- Strong organizational skills and attention to detail
- Ability to prioritize multiple tasks in a fast-paced environment
- High level of accuracy and reliability when handling confidential information
- Strong interpersonal and customer service skills
- Self-motivated and able to work independently
- Basic knowledge of inventory management and related business software is a plus
