This role is highly detail-oriented and plays a key part in ensuring smooth coordination between clients, internal teams, external vendors, and professional partners. Japanese language proficiency is required.<\/p>\n<p>Key Responsibilities<\/p>\n<p>Billing and Accounts Receivable<\/p>\n<p> \u2022 Review client and order details upon order confirmation to ensure accuracy<\/p>\n<p> \u2022 Generate and issue invoices using internal systems<\/p>\n<p> \u2022 Prepare sales agreements and coordinate legal review with external counsel<\/p>\n<p> \u2022 Communicate with clients and related parties regarding shipment status, delivery timelines, shipping methods, and quantities<\/p>\n<p> \u2022 Arrange insurance coverage for artwork during shipment and share coverage details with stakeholders<\/p>\n<p> \u2022 Monitor accounts receivable status, track outstanding or delayed payments, and prepare regular status reports<\/p>\n<p> \u2022 Escalate irregularities to management and coordinate with internal and external parties to resolve issues<\/p>\n<p> \u2022 Work closely with an external accounting firm to confirm payments, reconcile invoices, and address discrepancies<\/p>\n<p>Sales and Client Relations Support<\/p>\n<p> \u2022 Maintain and update artwork listings and related information accurately and in a timely manner<\/p>\n<p> \u2022 Manage and update artwork inventory records, including storage details and insurance coverage<\/p>\n<p> \u2022 Handle administrative coordination related to warehouse operations for art pieces<\/p>\n<p> \u2022 Organize, archive, and maintain digital files in a structured and searchable manner<\/p>\n<p> \u2022 Draft client and prospect newsletters and distribute them upon management approval<\/p>\n<p> \u2022 Manage digital assets and images of artworks for websites and newsletters by coordinating with photographers, communicating with relevant parties, and uploading content<\/p>\n<p>Additional Responsibilities<\/p>\n<p> \u2022 Perform other administrative or operational duties as assigned by management<\/p>\n<p>Qualifications and Skills<\/p>\n<p>\u2022 Native-level or fluent Japanese language skills (spoken, written, and reading required)<\/p>\n<p> \u2022 Strong verbal and written communication skills<\/p>\n<p> \u2022 Excellent multitasking and time management abilities<\/p>\n<p> \u2022 Ability to thrive in a structured, process-driven, and fast-paced environment<\/p>\n<p> \u2022 High level of accountability and attention to detail<\/p>\n<p> \u2022 Willingness to take on additional responsibilities as business needs evolve<\/p>\n<p> \u2022 Calm, professional demeanor with the ability to handle sensitive or stressful situations<\/p>\n<p> \u2022 Strong understanding of confidentiality and discretion when handling documents and information<\/p>\n<p>Disclaimer<\/p>\n<h3> This job description is a sample and has been anonymized for advertising purposes.
