Position: Operations Coordinator (Administrative & Logistics Focus)

Summary of the Position

This position is ideal for a proactive and adaptable professional who thrives in a small, team-oriented environment. Rather than owning a single function, this role will act as a generalist, supporting multiple areas of the business while collaborating closely with internal teams.

The primary focus will be on import/export and logistics coordination, while also assisting with administrative, accounting, and operational tasks as needed. Flexibility, ownership, and a willingness to step in wherever support is needed are key to success in this role.

Key Responsibilities

Import / Export & Logistics Coordination (Primary Focus)

  • Coordinate international and domestic shipments with freight forwarders
  • Obtain freight quotes and support rate negotiation
  • Prepare and manage shipping documents, including commercial invoices
  • Monitor shipment schedules, track ETAs, and ensure timely delivery
  • Review import documentation, duties, and tariffs for accuracy
  • Verify freight invoices and coordinate payments
  • Maintain shipment records and logistics cost tracking
  • Communicate shipment updates internally and with external partners

General Operations & Administrative Support

  • Support daily office operations including supplies, documentation, and coordination
  • Assist with internal communications and cross-functional coordination
  • Provide scheduling and logistical support for meetings and visitors
  • Help organize and maintain company records and files

Accounting & Sales Support

  • Assist with invoice processing, payment coordination, and expense review
  • Track sales data and support billing processes
  • Help prepare purchase orders, proforma invoices, and order tracking
  • Coordinate with internal teams to ensure smooth order flow

Additional Support (as needed)

  • Assist with onboarding and basic HR administrative tasks
  • Support trade show coordination and event logistics
  • Contribute to marketing-related tasks such as LinkedIn updates

Qualifications

  • 2+ years of experience in operations, logistics, or administrative roles
  • Experience with import/export or supply chain coordination is strongly preferred
  • Strong organizational skills and attention to detail
  • Ability to multitask and adapt in a fast-paced environment
  • Strong communication skills and a team-oriented mindset
  • Proficiency in Microsoft Office (especially Excel)

Preferred Skills

  • Experience working with freight forwarders or international shipping
  • Basic knowledge of accounting or ERP systems
  • Experience in small or mid-sized company environments
