Summary
A leading financial organization is seeking a detail-oriented General Affairs Administrator to support day-to-day office operations and executive/board administration. This role requires strong bilingual communication skills in Japanese and English and the ability to coordinate across internal teams and Japan-based counterparts.
What you’ll do
- Accounts Payable: Process invoices/expenses and support basic bookkeeping tasks.
- Document Management: Maintain filing systems (digital/physical), retention logs, and access controls.
- Vault & Access Control: Oversee vault open/close procedures and authorized access in accordance with internal policies.
- Travel & Logistics: Arrange domestic/international business travel; book accommodations for guests and trainees.
- Expatriate Support: Administer documentation and logistics for Japanese expatriate staff.
- HQ Correspondence: Handle secure, time-sensitive mail and communications with the parent organization in Japan.
- Board Support: Coordinate board/committee meetings, materials, and director-related administrative matters.
- Translation: Translate/edit important documents (EN ⇄ JA) as needed.
- Continuous Improvement: Deliver high-accuracy work and contribute ideas to improve processes, tools, and training.
- Other duties as assigned by management.
What you’ll bring
- Bachelor’s degree (or equivalent experience), preferably in Business Administration.
- Bilingual proficiency in Japanese and English (spoken and written).
- Basic understanding of accounting/bookkeeping.
- Strong interpersonal, organizational, and written communication skills.
- Solid PC skills with Excel and Word; comfort with standard office software.
