Position: Administrative Assistant

Location: Englewood Cliffs, NJ ONSITE

Pay rate Range: $21.7-25.7/hour

Working Hour: M-F 9AM – 4:30PM(30 minutes unpaid lunch)

Part-time is considerable upon request.

Key Responsibilities:.

-Purchase Order creation and management 

-Purchase and management of teaching materials, office supplies, consumables, and equipment

-Arrangement of textbooks (elementary, junior high, and high school) ( order to the Japanese government and vendors based on the instruction of the vice principal), receiving, and management of the remaining books.

-Prepare and manage teachers' attendance records and report to the treasurer

-Collection and management of commuting reports

-Maintain documents for newly hired teachers

-Collection and storage of various teacher documents (teacher resumes, W4s, I-9s, W9s, Confidential Agreements)

-Prepare and collect spring, summer, and winter schedules (coordination is done by the vice principal)

-Apply for and receive government grants (teacher rewards, school building rental, safety measures, subsidies for educational materials from the Overseas Children's Education Foundation, etc.) 

-Prepare, distribute, collect, consolidate, remind, and process promotion records.

-Preparation, distribution, collection, administration, and reminder of tuition fee payment forms and materials 

-Arrangement for each contract (school buses, copy machines, loaner cell phones, security companies, etc.) 

-Preparation of Christmas gifts, etc.

-OA equipment management and repair arrangements

-Liaison and discussion with school bus staff (parents) 

-Management, charging and collection of transceivers and cellular phones 

-Assistance to vice principal regarding public relations

-Checking of mail and assignments

Qualifications/requirements:

– Experience in administrative duties.

– Excellent Japanese and English language skills

– PC skills appropriate for office work, software operation skills

– Ability to communicate smoothly and build relationships with staff.

– Ability to work in a cooperative team environment
